Collaboration Policies
These policies apply to all collaborations, event participation, talks, workshops, panels, interviews, brand activations, and collaborative projects carried out by Networking Creative House Digital. The purpose of this document is simple: to make sure everything is clear, well-organised, and aligned from the very beginning, so the experience is smooth, respectful, and positive for both sides. By confirming a collaboration, both parties agree to work under these guidelines.
Nature of collaborations

Professional and paid nature
Institutional
Educational
Brand or event-based
Strategic or creative
Each collaboration is reviewed on an individual basis, taking into account the context, scope, type of participation and the level of preparation required.
Prior coordination and communication
For a collaboration to take place, the following details must be defined in advance:
Type of participation (talk, panel, workshop, intervention, etc.)
Date, time, and duration
Format (in-person or online)
City and venue
Target audience
Scope and expectations of the collaboration
All this information must be shared with sufficient notice in order to confirm participation in a thoughtful and well-organised way.
Advance notice and date changes
Collaborations require planning, preparation, and blocking time in the calendar.
For this reason:
Any change of date must be communicated as early as possible.
Changes are always subject to agenda availability.
Availability for rescheduling cannot be guaranteed if notice is given late.
Respecting time and organisation is key to maintaining a professional collaboration.
Fees, payments, and agenda reservation
When the collaboration is paid, fees are defined in advance based on:
The type of event
The scope of participation
The duration
The level of preparation required
The payment structure is as follows:
30% to confirm the booking and block the agenda
40% two weeks before the collaboration begins
30% remaining, 48 hours before the event or collaboration
The collaboration will only take place once the full payment has been completed.
If any of the scheduled payments are not made within the established timeframes, the collaboration will not be carried out.
The initial 30% payment is non-refundable, even if the collaboration is rescheduled or ultimately does not take place, as it corresponds to the reserved agenda time that could have been allocated to other projects or services.
Travel expenses and accommodation
When the collaboration takes place outside the city of Milagro – Guayas – Ecuador, the person or organisation responsible for the event must cover the following expenses:
Transport
Meals
Accommodation (when required)
These details are agreed and confirmed in advance to ensure a smooth and well-organised experience for both parties.
Attendance and team support
To ensure a professional and well-supported participation, Networking Creative House Digital always attends events accompanied by its team.
Depending on the type of event and the city, the collaboration may include:
The lead mentor plus two members of the agency team, or
The lead mentor plus one team member (especially for out-of-town events)
This structure ensures logistical support, proper accompaniment and an experience aligned with the brand’s standards.
Punctuality and participation timing
Networking Creative House Digital’s participation follows the schedule previously agreed upon.
In the event of delays, last-minute changes or adjustments to the event agenda, the originally agreed time will be respected.
Any extension of time, significant format changes or unplanned adjustments must be agreed in advance and, if applicable, may result in an additional fee adjustment.
Use of image, recordings, and content
Any use of images, recordings, photographs, videos, or excerpts from the collaboration must be agreed in advance.
Content may only be used for communication purposes related to the event or collaboration, always respecting:
Personal image
Brand positioning
The context in which the participation took place
The use of content for purposes other than those agreed is not permitted without explicit authorisation.
Reach, promotion and event results
Networking Creative House Digital may support the promotion of the collaboration through posts, stories or mentions on its digital channels, as previously agreed.
However, it is important to clarify that:
Participation in a collaboration does not imply or guarantee a specific number of attendees.
Ticket sales, registrations, or a specific conversion rate are not guaranteed.
Reach, impact, and results depend on multiple external factors, such as event organisation, promotional strategy, audience and overall context.
Networking Creative House Digital’s role is to contribute value, content and experience, not to guarantee commercial results or specific performance metrics.
Language of collaborations
All collaborations, talks, workshops, and participations are conducted in Spanish.
If the event is aimed at an English-speaking audience or another language:
Organisers may provide simultaneous interpretation for attendees.
If required, organisers must also provide a translator or interpretation system, so the mentor can follow interventions, questions, or dynamics in English or another language.
The hiring and coordination of these services are the responsibility of the event organisers.
Respectful communication and boundaries
Collaborations are carried out in a professional, warm and respectful environment.
Clear, mindful and courteous communication is expected at all times. Offensive, disrespectful or inappropriate behaviour before, during or after the collaboration will not be tolerated.
Mutual respect is essential to ensure a positive and aligned experience for both parties.
Limitation of responsibility
Participation in collaborations does not imply responsibility for:
The overall organisation of the event
Internal logistics
Audience behaviour or response
Networking Creative House Digital commits to fulfilling its agreed participation within the previously defined scope.
Force majeure situations
In the event of force majeure situations beyond either party’s control (emergencies, health-related issues or serious unforeseen circumstances), a reasonable solution will be sought by mutual agreement, always prioritising clear, respectful and timely communication.
Acceptance of the policies
By confirming a collaboration with Networking Creative House Digital, both parties confirm that they have read, understood and accepted these policies.
These conditions exist to protect time, energy, organisation and the overall experience, ensuring that every collaboration is carried out in a clear, professional and aligned way from the start.
